About the Position:

Title: Administrative Assistant

Reports to: Chief Tax Officer

Location: Westport, CT

Position Overview:

The Administrative Assistant will provide executive-level administrative support to the Chief Tax Officer and his team, as well as the Vice President, Human Resources & HRIS. The successful candidate will also provide technical support to the tax team. Responsibilities will range from travel arrangements and expense reimbursement processing to maintenance of the global tax compliance calendar, budget and forecast.

Responsibilities:

  • Maintain worldwide Tax G&A budget and forecast

  • Maintain compliance calendar

  • Process vendor invoices

  • Administer collaborative tools, such as SharePoint and internal databases

  • Coordinate all aspects of internal and external meetings, including travel, lodging, technology, conference rooms, meals, materials, etc.

  • Manage and maintain calendars

  • Plan and coordinate, often complex, global travel arrangements

  • Create advanced level spreadsheets, presentations and correspondence.

  • Manage incoming and outgoing mail and address to the extent possible

  • Support estimated payment, extension and tax return filing mailings

  • Manage supply inventory for department

  • Support talent development and review process

  • Support development and distribution of TBS Talks newsletter

Qualifications:

Required Qualifications:

  • High School diploma or equivalent, associate's or bachelor’s degree preferred

  • 5+ years of executive level administrative experience or equivalent, preferably with experience in public accounting or the tax department of a global company

Preferred Qualifications:

  • Ability to work independently, manage multiple priorities, multi-task and meet deadlines

  • Tax and Accounting knowledge is a plus

  • Ability to interact effectively with all levels in the organization

  • Strong interpersonal and communication (verbal and written) skills

  • "Roll-up-sleeves" attitude and pleasant demeanor

  • Superior organizational skills and attention to detail

  • Ability to handle confidential/sensitive information with discretion

  • Proficient in Microsoft Office Suite, including complex Excel spreadsheets and PowerPoint presentation design

  • Willingness to learn how to extract data from Hyperion and Oracle systems

  • Flexibility to work overtime as required
